Most computers users have Windows and Microsoft Office installed on their home computer, so the most easily available tool for checking the grammar is Microsoft Word, which comes with an inbuilt grammar checking function. Though it is not always correct, it helps to detect and correct grammatical errors.
By default, the grammar checking function is activated every time a Microsoft Word document is used. If the grammar is incorrect, the word will be underlined and a quick menu will contain suggestions with the correct grammar. The user may incorporate these suggested changes in the document or ignore them if they are not relevant.
There are additional options like “About This Sentence” in the quick menu, which opens a Microsoft Office Word Help dialog box that explains the sentence error and suggestions. Using the dialog box is more time consuming, but there are more options and explanations for correcting the grammatical error.
If the grammar in a sentence is incorrect, it is often difficult for the reader to comprehend the meaning of the sentence. Though correct grammar is taught in schools, many people tend to forget it, since most spoken English is grammatically incorrect. The use of slang has also increased in recent years.
Earlier people would do most of their reading off line , reading newspapers, magazines and books. Most of these publications had a system with multiple checks to ensure that quality of articles published was maintained. The basic checking of the grammar and spellings was done by the proof reader and rechecked by the sub editor and editor.
Today, with prevalence of internet, many people get the latest news online. Though news agencies like Associated Press and Reuters do check the stories published for grammatical and spelling errors, this constitutes a very small percentage of the online content. Most of the websites contain user generated content like forums, blogs and social networking websites, where users often use incorrect grammar.
